The short answer

US tax season management turns a portfolio of returns into a sequence of actionable jobs. Begin with the return type and assigned people, use the checklist to identify missing items, record extensions separately, then follow signature through e-file. TAXFINAI keeps that working record; your firm prepares, submits and pays through its existing tax tools.

1. Start with a reliable intake list.

Gather the jobs for the season, identify the return type and assign the people who will prepare and review them. Tax Workflow tracks 1065, 1120-S, 1120, 1040, 1040-NR and Form 5472 jobs, each with its checklist for the return type.

If your current list is in a spreadsheet, use the CSV import with its preview. Check the sample before confirming: the correct client, the appropriate form and the people responsible. A useful intake list gives the team one place to begin its preparation work.

  • Identify the client and the return type.
  • Assign the preparation and review responsibilities.
  • Read the checklist before moving into preparation.
  • Keep the relevant job documents and comments together.

2. Replace a vague waiting status with a concrete blocker.

Not in yet, Extension, Filed and Complete are working statuses. The checklist adds the reason behind the job's position. A return waiting for a K-1 needs a document; a return awaiting a review answer needs a professional decision. Read both the status and the item holding it up.

When something is missing, record the item on the job and make the next action clear. Comments with @mentions and attached documents help the next person understand what has been requested and what is already available. During the meeting, discuss the blocker and the action rather than rereading the whole file.

3. Track an extension as its own path.

Preparation of an extension and its filing are different moments. Complete the extension in your usual tax tools, keep the filing evidence and record the completed step in Tax Workflow. The extended due date is calculated for you, so the job stays visible on its new track.

Keep the tax payment decision separate from the filing timetable. An extension to file generally does not extend the time to pay. The professional responsible checks the applicable return and payment instructions, including any taxpayer-specific situation. The extension guide explains the distinction between Forms 4868 and 7004.

4. Follow the five recorded signature stages.

Prepared → Sent → Signed → Paid → E-filed. Each stage is dated and visible to the team. Read the stages as events in the job's history, so preparation, client signature, payment and filing remain distinct.

Managers and admins mark returns paid or e-filed. The return itself is prepared and submitted in your tax software; TAXFINAI keeps the record. A recorded stage should reflect the event that occurred and be supported by the firm's working evidence.

  1. Prepared and Sent

Finish the preparation and record when the package is sent through the firm's process.

  2. Signed

Record the completed signature step when the signed documents are available.

  3. Paid and E-filed

The authorized person records payment and filing after the events occur in the external tools.

5. Keep estimates, recurring work and capacity connected.

Annual returns share the team's attention with estimated payments and recurring filings. Bring these into the portfolio discussion without mixing their stages. Estimated Tax has its own baseline approval and Q1–Q4 installment sequence; monthly and quarterly tasks have their own occurrences and responsible people.

Look at the job's hours and WIP alongside the remaining work. If preparation took longer than expected, decide whether the explanation is missing documentation, additional work or a need for more review. The manager can then redistribute attention using the actual situation.

6. Finish with a record the next person can use.

Before marking a job complete, review its checklist, the recorded signature stages and the documents or comments that explain its outcome. The next reviewer should be able to understand what happened without a new status meeting.

For a demonstration, bring the shape of a typical job recreated on sample data: form, missing item, assigned people and the next two handovers. That is a useful way to examine season management in practice, beyond a list of features.

Common questions

What is the difference between a job status and a signature stage?

The job status gives its overall working position, such as Not in yet or Extension. Signature stages record specific events: Prepared, Sent, Signed, Paid and E-filed. Reading both gives the team the current situation and the history of progress.

How should we handle a missing document?

Make it a blocking item in the job's checklist and identify who will obtain it. Keep the relevant discussion and attachment on the job, then update the checklist when the information arrives.

Does recording an extension also extend the payment deadline?

Treat filing and payment separately. A filing extension generally gives more time to submit the return, not to pay. Check the applicable instructions and the taxpayer's situation before recording the payment plan.

Where does the actual e-file take place?

In your firm's tax software. Tax Workflow records the stage and date so the team can follow it alongside the other job information.

How can we evaluate this method in a demo?

Use a sample job with one missing document and one review handover. We can walk through intake, the checklist, an extension if relevant, and the recorded signature stages.
